HOSPITALITY TEAM

 

HOSPITALITY MANAGER

Responsibilities 

• Makes travel and hotel arrangements

• Be a point of contact for any travel changes/cancellations

• Manage hospitality volunteers

• Find suitable lodging hosts and drivers

• Assign artists to lodging hosts and drivers

• Handle any hospitality needs from artist rider (food, beverages, etc.)

• Greet artists on-site day of the event and attend to their needs

• Keep track of and manage artist rider requirements (in relation to hospitality) 

• Available for weekly or bi-weekly meetings

Qualifications 

• Good interpersonal skills 

• Good at working in a team

• Organized, able to meet deadlines

• Capable of keeping others organized

• Strong leadership

 

Volunteer Hosts

Responsibilities

• Provide adequate housing for out-of-town artists

  • No more than 30 minutes out from the venue

  • Artist has own bedroom / bathroom

  • Artists expected to stay throughout the weekend (3 days / 2 nights)

Qualifications 

• Hospitable (duh)

• Has comfortable and tidy living space

• Good interpersonal skills

• Ready to tend to the needs of artists

 

Drivers

Responsibilities

• Drive artists to and from the venue from their hotel, air bnb, or volunteer host

Qualifications

• Car should have adequate space for artist + their gear

• Car should be clean and reliable 

• Good driving record

DOS Hospitality

Responsibilities 

• Makes sure that artist dressing rooms are stocked with water bottles and snacks

• Meets artist rider requirements (some artists may require specific food or beverages, per their rider)

• Make sure artists are comfortable in the venue 

Qualifications

• Good interpersonal skills

• Organized 

• (Optional) Has a car in case store runs need to happen

 

MERCH TEAM

 

MERCH MANAGER:

Responsibilities 

• Interface w/ artists and/or merch managers regarding merchandise sales and inventory

• Manages merch vendors

• Manages accounting and inventory for merchandise sales

• Manages merch table operation, presentation, and staff schedule

• Available for weekly or bi-weekly meetings

Qualifications 

• Good interpersonal / customer service skills 

• Good at working in a team

• Organized

• Capable of keeping others organized

• Strong leadership

• Good at math and counting 

• Comfortable handling large sums of cash / receipts 

 

Merch Vendor

Responsibilities 

• Sells merch at the merchandise table

• Sets up a proper display for all of the items

• Helps account and keep track of inventory

Qualifications

• Able to work under pressure

• Comfortable handling large sums of cash / receipts 

• Good at math and counting

• Good interpersonal / customer service skills 

• Organized

LOGISTICS TEAM

 

LOGISTICS MANAGER

Responsibilities

• Coordinate w/ the venue

• Manages logistics volunteers

• Keep track of equipment needs / purchases

• Define event schedule, run of show logistics, overall staff needs

• Define room layouts, stage layouts, and set changeover plans

• Define individualized agenda for each participant and performer

• Available for weekly or bi-weekly meetings

• Organized, able to meet deadlines

• Strong leadership

 

Set-Up Crew

Responsibilities

• Help set up the venue for the event

  • Trade show booths / tables

  • Stage and sound

  • Installations / signage 

• Be available for tear-down of event

Qualifications

• Good at following orders

• Organized

• Able to lift heavy objects

 

Stage Crew

Responsibilities 

• Help facilitate smooth stage transitions between artists / presenters

• Make sure artists / presenters have everything necessary for performance

Qualifications

• Good at following orders

• Organized

• Familiar with sound and stage equipment

• Able to move quickly and efficiently 

 

Room Monitors

Responsibilities 

• Help facilitate the various rooms and common areas around the venue

• Make sure nobody is being too crazy

• Make sure there is someone there to clean in case of a mess

Qualifications

• Observant 

• Capable of diffusing situations and handling large crowds 

 

DOS Artist Logistics

Responsibilities 

• Help make sure that artists / presenters are in the right places at the right times

• Help make sure that artists / presenters have everything they need for their performance

Qualifications

• Able to stick to a schedule

• Organized

• Able to wrangle people 

• Good interpersonal skills 

 

Art Installation / Signage Volunteers

Responsibilities

• Help coordinate with the artists who are putting installations / signage around the venue

• Help set up said installations if need be

Qualifications

• Good at following orders

• Organized

• Able to lift heavy objects

• Good interpersonal skills

 

VIDEO & LIVE-STREAM TEAM

 

VIDEO & LIVE-STREAM MANAGER

Responsibilities

• Manages the video and live-streaming of the event

• Manages video & live-stream volunteers

• Available for weekly or bi-weekly meetings

• Good interpersonal skills

• Strong leadership

• Familiar and comfortable with various AV equipment 

 

Production Assistant

Responsibilities 

• Helps with various audio/video and production needs during the show

• Right hand to Live Stream manager

Qualifications

• Comfortable with the operation of audio/video equipment

• Works well with others and is highly flexible

 

Technical Director

Responsibilities

• Running video switcher, graphic overlays, and producing the stream in a room

Qualifications

• Experience with video switching systems and show calling

• Basic understanding of audio

Camera Operators

Responsibilities 

• Helps position and move cameras for our videos and live-streaming

Qualifications

• Comfortable with the operation of AV equipment

• Good at following orders

 

DivKid Camera Operators

Responsibilities 

• Follow Ben Wilson around to help him capture audio and video for his videos / interviews

• Make sure Ben has what he needs at all times (equipment, water, etc.)

• Comfortable with the operation of AV equipment

MARKETING TEAM

 

MARKETING MANAGER

Responsibilities 

• Execute the marketing plan and track marketing budget

• Co-manage website design w/ Bradley

• Interface w/ designers on posters and flyers

• Coordinate with fundraiser events

• Social media and announcements

• Available for weekly or bi-weekly meetings

• Manages marketing volunteers

• Makes sure there is enough seating / tables for participants 

• Makes sure we have all of the necessary materials for workshops
